SPRING CONVENTION 2009


"Dear Colleagues,

This is the spring convention email that many of you have anticipated. Please read very carefully, as there is a lot of information jampacked inside and I don't want you to miss anything.

There are several sheets attached to this email, and I will deal with them one at a time.

*First, there is a list of dates and deadlines, called D&D2007. On this list are the deadlines for precontests, all of which are March 15th. You will also find on this list the addresses to which to send them. Please make sure you send the right contests to the right place.

*Next is the School Registration sheet. You need to fill this out, enclose payment and send it to Amanda McCartney at Providence HS. The address and her name are both on the sheet itself. The postmark deadline for this is APRIL 1st. Wake Forest University is charging us more this year for the use of their facilities. They have also asked us to secure liability event insurance, which was a significant cost to the NCJCL. As a result, the registration fee per student is $15 this year. It still includes the lunch on Saturday. Last year, we charged no registration fee and only charged for the lunch, which left us with virtually no money this year. This year, we have tacked on a $5 registration fee to cover our other costs.

*You will find three excel documents attached to this email. All of them are fairly self-explanatory if you have done this before. If you have not, you must open each one, and fill in your students' names who are competing in each event. You must also fill in their membership numbers. If you have lost your membership numbers, you must email Erin Guzman for them. Make sure you save each excel sheet with the name of it and the name of your school. So change the name from "attendees" to "Jack Britt attendees" etc.

Fill out each sheet and email them to Amanda McCartney by April 1st. Her email is

*On the sheet labeled "attendees" you need to list the following information: student name, student's membership number, level of latin and grade level. In addition, you must list your chaperones and their cell phone numbers. If you do not know who they are, you must notify Amanda McCartney who they are and provide cell phone numbers as soon as you do know.

*Officer Candidacy Forms are also attached, and the address to mail them to is on the Dates and Deadlines sheet. You need to send them in by March 15th as well.

You will be receiving another email which will have the arts and crafts registration slips on it.

Erin Guzman also wants me to remind you that spring registration for MEMBERSHIP was due March 1st. I do not know if she is accepting late registrations, but you can email her to ask. This information is also on the list of dates and deadlines.


Things to keep in mind as you register for spring convention:

* For the chariot horses, you need to list them with membership numbers on the Olympika registration sheet. They must be four girls and up to two alternate girls.

* The charioteer must be a boy and he must have a HELMET and all participants in the chariot race must have long pants and athletic shoes.

* If you are participating in the softball throw, frisbee throw or relay, you must supply your own frisbee, softball and/or baton.

* At some point we will send permission slips for olympika, which must come WITH you to spring convention to be turned in at WFU when you register there for your packets.

* If you sign up students for essay contest, you may not sign up more than FOUR, and in order for them to compete, you must send a judge to essay.

* There is a cap on the costume contest: you may not enter more than two students in each category. (for the couples, it's two couples, of course) (SO TOTAL, TWO BOYS, TWO GIRLS, TWO COUPLES--AGE DISTINCTIONS DO NOT COUNT AS SEPARATE CATEGORIES)

* If you are competing in competitive certamen, we will sign you up accordingly after the March 29th certamen competition at WFU. You do not have to tell us you are in competitive certamen when you register for spring convention.

* Open certamen is for students who have NEVER played competitive certamen. Students who have played certamen are not eligible to play open. If you sign up students for open certamen, you must submit two certamen questions PER STUDENT that you have written to Kay Zimmerman at Greensboro Day School. Her email is on the Dates and Deadlines sheet. Please send them to her by April 1st as well. If you do not submit certamen questions, your students will not be allowed to play.

* As before, some of the testing sites do not have desks. Clipboards are recommended for your students, but not a dire necessity.

* Please discuss with your students ahead of time your expectations of their behavior at convention. We think all of the NCJCL kids are super, but we want to avoid any scenes. This is especially important in contest rooms, where students in the past have thought it appropriate to use cell phones and other electronic devices. Please remind them that if their cell phone is on, out, or makes noise during a contest, they will be dismissed from the contest.

* As time grows closer, you will receive a tentative schedule and a list of duty assignments. Please let your chaperones know that we really appreciate it when they show up to their assigned places on time. Most people do, but there are always a few that do not and that slows things down for everyone.

* Arts and Crafts are registered on site. You do not need to let us know what arts your kids are bringing.

* If you are bringing a scrapbook, you must send scrapbook materials to Jennie Buckner by the March 15th deadline (see the list of Dates and Deadlines for her address)
